You will support daily operations and help the team run smoothly. You will work closely with colleagues across functions to complete administrative and project tasks. Key Responsibilities:
Preparation of documents for import and supply of medicines, samples and reagents
Maintaining a supply tracker on a daily basis, preparing a supply plan according to the agreed schedule
Communication with multifunctional teams within GSK Ukraine and participation in meetings (S&D, Regulatory, QA) to consolidate the coordination of information on planned delivery dates and provide it to all interested parties (recording the minutes of meetings, preparing data)
Downloading and updating the report (Safety Stock) on stock balances, coordinating the receipt of comments from different departments
Uploading data and generating tables on SART
Preparation of the file and verification of the report of Customs brokerage services on a monthly basis
Preparation of budget files of import deliveries to minimize logistics costs, control of auto/air transportation, as well as optimization of brokerage costs for the region of Ukraine
Preparation of presentations and analytical data, comparative tables on costs, types of deliveries and participation in projects that will help to find the most efficient level of supply chain operation
Ensuring timely updating of information, entering data and formation of cost tables, department savings (KPIs)
Acceptance of reagents and their transfer to the state laboratory
Participation in regular MMs and controls (analysis of SOPs, preparation of comparative tables, preparation of MM report)
Paperwork in the Ariba system, expense reports, contract negotiation, scanning and archiving of documents, registration of incoming/outgoing documentation, etc.
Preparation of documents for obtaining an import license of goods containing controlled substances
Maintenance of reports on the Controlled Substances Operator
Substitution for the vacation period of Logistics Planner (preparation of documents for deliveries, communication with a service provider, coordination of deliveries)
Participation in other projects of the Logistics and Distribution Department and performance of tasks on behalf of the Head of Logistics and Distribution Department
Basic Qualifications:
Currently enrolled in the 3rd to 5th year of a degree program
Fluency in Ukrainian and English, written and oral
Confident user of Excel, office applications MS Office, Outlook, PC
Analytical mindset, attention to details, responsibility, diligence
Good verbal and written communication skills
Ability to work in a team
