As an HR Operations specialist, you will be the backbone of our HR team’s daily operations - from documentation and vacation tracking to automating repetitive tasks and improving internal workflows. While our People Partner focuses on people experience, your work will ensure everything runs smoothly behind the scenes.

You’ll be working closely with the Head of HR, Finance, and Legal teams - as well as directly supporting our growing international team of 170+ employees.

We’re expanding our internal HR team to scale our services and operations - and looking for an organized, proactive, and detail-oriented HR Operations specialist to join us in Kyiv.

• Strong attention to detail and consistency in task execution
• Experience working with HRIS systems - ideally PeopleForce or similar
• Confident user of Google Sheets, Docs, Slack, and Asana
• Ability to work in a fast-paced environment and manage multiple priorities
• Proactive mindset - you don’t just follow processes, you improve them and spot areas for optimization
• Solid English communication skills, both written and verbal (Intermediate+)

NICE TO HAVE:

• Previous experience in tech, IT recruitment, or the outstaffing industry
• Previous experience in HR coordination, administration, or operations
• Experience supporting remote teams or distributed environments
• Interest in HR analytics, automations, or process design

• Maintain HR databases (PeopleForce)
• Ensure timely updates of employee data in PeopleForce and Asana
• Launch automation rules in PeopleForce (onboarding, probation, birthdays)
• Support data flows and tagging in Asana projects (recurring tasks, SOPs)
• Track and process vacation, sick leaves, day-off, and absence requests
• Track key employee milestones and HR calendar activities
• Communicate with teammates to gather and verify HR data
• Coordinate greetings, milestones, and other lifecycle support flows
• Assist in office-related coordination (equipment, requests, etc.)
• Propose ideas for automation or smoother collaboration between HR, Finance, and Legal
• Support audits and data cleanup in systems if needed
