ABOUT THIS JOB

The Sales & Communications Support provides fast, reliable sales administration and internal communications support, assist the Director with delegated tasks, manage client document workflows end‑to‑end (printing, scanning, routing, and dispatch), coordinate internal communication on behalf of the Director, and act as MarCom ambassador in Ukraine, ensuring brand‑consistent messaging and timely information flow across the team.

What You'll Do:

Client Document & Workflow Management

• Print, scan, and format client documents (contracts, proposals, letters, annexes, etc.).
• Route documents within the team for review/approval and send final documents to clients via email, e‑signature tools, courier services.
• Track document status against SLAs and follow up on blockers proactively.

Internal Communications Support 

• Draft, edit, and distribute internal announcements, updates, and leadership messages; ensuring clarity, accuracy, and alignment with company tone.
• Organize internal meetings (town halls, Q&As, and staff updates); managing agendas, talking points, and follow‑ups.
• Maintain internal pages/posts (e.g., SharePoint/Teams) and ensure timely information flow.
• Ensure timely payments for vendors and contractors by coordinating with Finance and tracking invoices.

Event Organization

• Support in planning and running events for clients and employees (presentations, networking sessions, corporate gatherings).
• Handle logistics, venue booking, catering, and communications with vendors. 

Marketing Communications (MarCom) Ambassador (Ukraine)

• Localize and activate global brand & marketing communications materials for the Ukrainian market; ensure brand compliance in all internal/external touch points.
• Partner with regional marketing teams on campaigns, employee-engagement communications; coordinating translations when needed.
• Monitor engagement and feedback; sharing local stories and successes to regional/global MarCom.

Team Coordination & Operations

• Maintain request queues, shared mailboxes, and trackers; schedule briefings and checkpoints for sales deliverables.
• Collaborate closely with account leads and operations to keep information current and consistent.
• Uphold confidentiality and data‑protection standards at all times.

Tools & platforms

• Daily use of Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams), SharePoint; office devices for printing/scanning; basic collaboration and task‑tracking tools.

• 1-3 years in office administration, sales support, internal communications, or operations.
• Experience handling documents and coordinating communication tasks.
• Knowledge of e‑signature tools and basic vendor/courier coordination.
• Strong time‑management skills and the ability to handle multiple tasks quickly and accurately.
• Reliable online availability during business hours and strong responsiveness to internal requests.
• Excellent attention to detail, especially when working with documents.
• Ability to handle confidential information responsibly.
• Proficiency with Microsoft 365 and basic office equipment.
• Clear written and verbal communication in Ukrainian and English.
