VA Rate: $2,300 - $3,200

Requirements

Minimum Requirements & Qualifications

Each client we work with has their own specific needs, but across the board, they’re looking for experienced professionals who can hit the ground running. Real-world experience is a must, not a bonus.

While each role may differ, here are the baseline qualifications we look for in candidates:

✅ Communication Skills

• Excellent written and spoken English
• Able to articulate ideas clearly, confidently, and professionally
• Comfortable communicating across platforms: video calls, phone, email, and chat

✅ Professional Experience (you should meet at least one)

• 1+ year of remote work experience (freelance or full-time)
• 1+ year of experience working directly with international clients or companies (US, EU, AU, SG, etc.)

✅ Minimum Tech Requirements

A reliable laptop or desktop that can handle day-to-day tasks

A stable internet connection, with a backup plan in case of outages

A backup power source to minimize disruptions during blackouts (if applicable)

Experience Needed:

- Build, manage, and scale N8n workflows for internal and external processes (e.g. customer onboarding, lead routing, data sync, operational triggers).

- Own and optimize our HubSpot CRM setup, properties, workflows, sequences, and integrations.

- Configure and maintain integrations between tools like Zapier, Make, Slack, Notion, Airtable, Stripe, GCal, Gmail, and others.

- Partner with ops, sales, marketing, and product teams to design automations that improve efficiency and reduce manual work.

- Maintain clear documentation and testing protocols for every automation.

- Monitor and debug any automation issues or failures, ensuring uptime and reliability.

- Help us migrate legacy automations from Zapier/Make into N8n when appropriate.

- Expert in scraping data from all major social platforms (LinkedIn, Twitter/X, Instagram, TikTok, Reddit, etc.), including dynamic content, infinite scroll, and JavaScript-heavy pages using tools like Puppeteer, Playwright, and custom headless browser setups.

- Fluent in data structuring and enrichment, able to parse, clean, deduplicate, and format data into clean CSVs or databases, then enrich it using APIs like Clearbit, Apollo, People Data Labs, or custom-built enrichment pipelines.

- Able to design and deploy custom scrapers per use case, including bypassing CAPTCHAs, rate limits, and bot detection, with reusable modules for recurring workflows and active monitoring to keep data pipelines fresh.

Good to have:

- Experience with custom scripts inside automation platforms (Node.js, JS).

- Experience with Make.com, Retool, or Browserbase.

- Prior experience in startups, agencies, or fast moving ops environments.

- Background in RevOps, BizOps, or No Code development.

Non-negotiable Requirements:

- Deep technical expertise with N8n (you’ve built complex workflows with API calls, conditionals, data transforms, and webhooks).

- Strong HubSpot CRM skills: admin level experience configuring properties, workflows, reports, custom objects, and integrations.

- Comfortable working with APIs, authentication methods (OAuth, tokens), and payload manipulation (JSON, arrays, etc).

- Systems thinker: you love designing efficient systems and improving what already exists.

- Clear communicator who can document systems and collaborate cross-functionally.

Industry/Tools Experience:

- Primary: N8n (must be an expert)

- Key Systems: HubSpot CRM (admin-level experience required)

- Others: Zapier, Notion, Slack, Google Workspace, Airtable, Make, Webhooks, APIs
