This person ensures smooth financial and administrative processes for all client and vendor-related projects, with a primary focus on managing internal documentation, invoice flow, and coordination tasks.Responsibilities Document Management & Organization Collect all finance-related documents received from Producers, including invoices and purchase orders Develop & Maintain a centralized database with all client and vendor invoices and other finance-related documentation Ensure all documents are accurately labeled and stored in appropriate folders, accessible to relevant team members Vendor Communication & Support Liaise with vendors to resolve discrepancies, request missing documentation, and clarify payment timelines or requirements. Track and follow up on any outstanding documentation or unresolved queries to maintain smooth payment workflows. Internal Finance Liaison Serve as the main contact between the Producers’ team and the Department that takes care of sending client invoices & receiving the vendor invoices. Troubleshoot and resolve invoice challenges with the Department that takes care of sending client invoices & receiving the vendor invoices. Client & Market-Specific Documentation Anticipate documentation needs and maintain a proactive approach to avoid delays in project closure and payments. Process Improvement Propose and help implement process improvements to prevent repeated issues and ensure consistency across markets. Qualifications Strong organizational and time management skills Excellent communication and interpersonal skills Attention to detail and a proactive attitude Fluent English level (writing & speaking) Fluent Ukrainian level (writing & speaking) A strong proficiency in all MS Office applications, particularly Excel, is essential.
